If you're the person who orders cutting tools for your shop, this checklist is for you. Check #1: Write Down the Job Before You Write Down the Product

Before I open any catalog, I write down three things: what we're cutting, how thick it is, and what the finish needs to look like.

It sounds obvious, but most people skip it. A 12-inch saw blade that glides through plywood will burn its way through solid oak if the hook angle isn't right. A 45 degree router bit that leaves clean chamfers in poplar can tear out on figured maple depending on feed direction.

In my first year, I made the classic rookie mistake: assumed "standard" meant the same thing to every vendor. I ordered what I thought was a general-purpose blade for a job that needed a rip grind. Cost me $600 in ruined material and an uncomfortable chat with the owner.

Another version of the same failure: I said "a blade that leaves a clean edge." My supplier heard "a finish-cutting blade." Those are different grinds. Check #5: Stock the $10 Items Before They Become $200 Problems

Nobody plans around a stripped hinge screw, but it'll stop a job faster than you think. The question comes up in every shop sooner or later: what size screw for exterior door hinge? If someone grabs a random drywall screw, it'll likely shear under the tension of a heavy door. The practical answer is a #9 or #10 screw, 2.5 to 3 inches long, with an exterior-grade coating, driven into the stud behind the jamb. A box of those costs about $10.

That $10 box prevents a $200 repair. More importantly, it prevents the "run to the hardware store at 10am" tax—the hour of downtime across every job that machine was supposed to cut that morning. I keep a drawer of these small but critical items: hinge screws, air fittings, router bit bearings, hex keys. Whatever kills production on a normal Tuesday.

Check #6: Document Everything — Future You Says Thanks

Every order goes into a spreadsheet: date, item, vendor, unit price, shipping, lead time. I know this sounds absurdly boring, but it's the reason we're on budget at all.

Six years of data tells me what a blade cost in 2023 and whether the vendor actually delivered when they said they would. That's serious leverage at reorder time. Last quarter, I noticed 22% of our tooling overruns were rush shipping—orders placed too late because we didn't have reorder points. We set up automatic alerts for the items we burn through monthly, and those overruns basically disappeared.
